After a successful trial at their Munich location, the technology is being expanded across all 50 Design Offices sites, resulting in faster responses, higher customer satisfaction, and considerable time savings. These AI agents support the Design Offices team by automating administrative tasks, thereby allowing the team to focus more on customer engagement and consulting, particularly for larger events and conferences.
In just three months of testing, hivr.ai's AI agents processed over 5,000 email inquiries, saving Design Offices a whopping 250 hours of work and generating an additional €100,000 in revenue. According to Daniel Knöller, Commercial Director at Design Offices, this solution tackles one of their major operational challenges: "Every email must be manually transferred into different systems to check prices and availability. This can take between 20 to 30 minutes per proposal — an inefficient time sink when considering that only three out of ten proposals actually convert into bookings." With hivr.ai, those hours are being reclaimed.
Automation means more time for personalized service
The majority of room and event inquiries that Design Offices receives come in unstructured, via email—about 70%. Given that they handle over 150,000 such emails per year, this was a huge opportunity for streamlining. Using hivr.ai's automation platform, incoming emails are processed automatically, availability is checked, and responses are prepared—all without the need for manual intervention. Additionally, relevant data is seamlessly transferred into the customer management system (CRM), reducing human error and manual work.
