The rooming list is hospitality's most stubborn piece of admin. We just fixed it.

Manual data entry, comparing spreadsheets, rekeying errors. Group bookings have always carried an operational tax. hivr.ai and Radisson Hotel Group have built the thing that eliminates it.

The default that nobody questioned

Somewhere right now, a hotel coordinator is comparing two versions of a rooming list in Excel, manually working out what changed. It is tedious, error-prone, and completely unnecessary. It has also been the default way of handling group bookings for decades.

Today, hivr.ai is launching technology that removes that workflow entirely. Co-developed with Radisson Hotel Group and already rolling out across their European portfolio, it tackles the rooming list problem from two directions: automate the existing process, or bypass it altogether.

~50 minutes

of manual data entry removed per booking, for a typical European corporate group of 100 guests.

Automating the existing workflow

The automation side handles the reality of how guest data actually arrives: PDFs, emails, non-standard spreadsheets, and yes, occasionally handwritten inputs. The system ingests all of it, structures it, and syncs it directly into the hotel's PMS or CRM. No rekeying. When an updated version of the list arrives, a change reconciliation feature automatically surfaces exactly what has been added, removed, or modified, and updates the records without anyone having to do a line-by-line comparison.

Or skip the list altogether

For hotels that want to remove the rooming list entirely, there is a built-in booking engine that lets attendees’ book directly into a room block themselves, with real-time pickup tracking giving planners and hotel teams visibility into how the block is filling.

"Most group bookings still involve someone manually rekeying a rooming list into the PMS. That's where errors creep in, revenue leaks and hotel teams get stuck doing admin instead of managing relationships."

Felix Undeutsch, CEO, hivr.ai

Rolling out across Europe, and beyond

Group bookings tend to be some of the highest-value business a hotel takes. The operational side has rarely matched that. Radisson's Mandy Stam, Senior Director of Business Solutions, put it plainly: their teams can now focus on the guest and the relationship rather than processing spreadsheets.

Hotels can deploy either module standalone or as part of the full hivr.ai platform.

hivr.ai works with 1,200 Radisson properties across Europe. The rollout is also going live with a leading travel technology partner.
